We appreciate that these can sound scary – but they are industry standard and what any reputable business should have in place. We hope that this assures you that you are working with professionals. Thank you for your understanding.
OUR PROMISE TO YOU
We promise to always produce the most appropriate designs to fill your brief on each and every project. We will respect you and your business by keeping all of our correspondence and information confidential. We will give you guidance and assistance whenever possible.
Our aim is to deliver to you designs that you can be proud of, on deadline and within budget.
To assist us in achieving the above goal, you will agree to supply us with everything that we need to complete your project on time and on budget. This includes proofing our work and providing relevant feedback in a timely fashion so that we don’t have to stalk you in an attempt to complete the work. You agree to respect our work and industry by not taking our designs elsewhere without purchasing copyright or without written permission.
We always have an initial briefing meeting. If you are unable to come into the office for a briefing, we can arrange a discovery call or we will send you a brief sheet. This will need to be filled in prior to us starting a project. The initial meeting is free. Subsequent meetings will be invoiced at our hourly rate pro-rata charged in 15 minute increments. All correspondence is done via email or telephone.
We require all estimates to be signed off on prior to us commencing work.
Most of our estimates are on a fixed-price agreement based on the brief that we have been provided. In many cases, we cannot foresee how challenging it will be for us to get information from you. Constant following up and chasing you to stay within our allocated timeframe will eat into your design time. For this reason, our estimates are based on a time frame that we realistically should not exceed. If you do exceed this time frame by:
Additional hours will be charged in 15 minutes increments pro-rata of our hourly rate.
Timeframe examples include:
Logo design – 7 hours
Business cards – 2 hours
Website (5 pages) – 20 hours
Additional website pages and populating – 2 hours each
Estimates are current for 30 days.
SUPPORT OFFERINGS
WRD has the capacity to take on a select number of retainer clients. Retainers are offered by invitation only and result in benefits that other customers would pay for. These benefits include:
Retainer contracts run for 3, 6 or 12 months for up to an agreed amount of hours. Once a contract is signed it is deemed binding and invoices will be issued on a monthly basis, paid in advance. Hours do not roll over from month to month and do not include after hours work.
Agreements that are terminated prior to the completion of the contract will result in the remainder of the contract to be paid in full by the client.
Our turnaround times vary depending on the size of the project and what is currently booked into our job flow. This will all be discussed at the start of a project where estimated times will be given.
If you have a tight deadline, please let us know from the beginning, as we will prioritise your work. If you leave things to the last minute or delay feedback so that the deadline becomes pressurised, a Quick Turn Around fee (20% of the estimated price) will be added to the invoice. We aim to get 100% of our deadlines met 100% of the time, but we need your assistance to achieve this.
We will not be held responsible for any delays caused by a lack of feedback, client not supplying content or unpaid invoices. Additionally, we cannot be held responsible for deadlines missed due to circumstances out of our control (strikes, economy, acts of God!)
All artwork requires digital sign off through our website. This ensures that we only proceed with artwork that you have authorised us to continue with. An email with permission to print will not be accepted as a signoff. Once the client has signed off the artwork, White River Design takes no responsibility for any typo’s or misprints. Any changes made to the artwork after sign off has taken place will be charged at our hourly rate.
PLEASE NOTE: No artwork will be sent to print or made live on the web without sign off. No exceptions.
WRD offers print management services, however, if you wish to use your own printer you are very welcome. You need to be aware of a few things first:
Prices are based on estimated time frames and include initial design and 2 sets of changes. An hourly rate will be charged, over and above the estimated price for any additional changes.
All projects require 50% payment prior to starting. The balance will be invoiced prior to going live or after 40 days – whichever comes first. Full payment is required prior to the launch date. Our turn around time is 2-6 weeks depending on the package or website that you have chosen – please read our emails carefully for this information. If the site build extends longer than 6 weeks, WRD reserves the right to invoice the balance at this stage and supply you with the content management details for you to populate your website at your leisure.
PLEASE NOTE: All designs produced will be charged for whether accepted or not.
